Job Vacancy – Admin PPIC
About the Company
We are a growing sustainable building materials company focused on developing natural, environmentally responsible, and low-carbon construction materials.
- As our production operations continue to grow, we are looking for an organized and detail-oriented
- Admin PPIC (Production Planning & Inventory Control)
to support production planning, inventory monitoring, and coordination between Production, Warehouse, Purchasing, Quality Control, and other departments.

- Key Responsibilities
- Production Planning Administration
- Assist in preparing and updating daily and weekly production plans.
- Input production requirements based on customer orders, project requirements, and stock levels.
- Coordinate production schedules with the Production team.
- Monitor production progress against the planned schedule.
- Update production plans when there are changes in orders, material availability, or production capacity.
- Inventory Monitoring
- Monitor raw material, packaging material, work-in-progress, and finished goods inventory.
- Maintain accurate inventory records and ensure data is updated regularly.
- Coordinate with Warehouse to verify stock availability and physical quantities.
- Identify potential shortages or excess inventory and report them to the PPIC/Production Manager.
- Support regular stock counting and inventory reconciliation.
- Material Requirements
- Assist in calculating material requirements based on production plans.
- Check the availability of raw materials before production begins.
- Coordinate with Purchasing and Warehouse regarding material shortages and delivery schedules.
- Monitor incoming materials to ensure they are available according to the production schedule.
- Production Data & Reporting
- Collect and input daily production data.
- Prepare daily, weekly, and monthly production reports.
- Record production quantities, material consumption, production losses, rejected products, and finished goods.
- Maintain accurate production and inventory documentation.
- Prepare reports for management and the Production/PPIC team.
- ERP & System Administration
- Input and maintain production, inventory, material, and product data in the ERP system.
- Ensure transactions and data are entered accurately and on time.
- Support the implementation and improvement of the company's ERP system.
- Coordinate with relevant departments to ensure system data matches actual physical stock and production activities.
- Identify discrepancies in system data and report them for correction.
- Coordination with Other Departments
- Coordinate closely with Production, Warehouse, Purchasing, Quality Control, Sales, and Project teams.
- Communicate changes in production requirements and schedules.
- Ensure information regarding material availability, production status, and finished goods is properly communicated.
- Support smooth coordination between production planning and actual operational activities.
- Documentation & Filing
- Maintain production plans, material requests, stock reports, production records, and other PPIC documents.
- Ensure documents are properly organized and easily accessible.
- Maintain proper records for traceability of materials and finished products.
- Continuous Improvement
- Identify administrative and data-related problems within production planning and inventory processes.
- Assist in improving PPIC workflows and reporting systems.
- Support the development and implementation of SOPs related to production planning and inventory control.
- Help improve data accuracy and reduce discrepancies between system records and physical stock.
Requirements
- Minimum
- 1–2 years of experience
- in PPIC Administration, Production Administration, Warehouse Administration, Inventory Control, or a similar position.
- Experience in
- manufacturing, building materials, construction materials, or production environments
- is an advantage.
- Minimum Diploma (D3) or Bachelor's degree in
- Industrial Engineering, Supply Chain Management, Management, Logistics, Accounting
- , or a related field.
- Strong knowledge of Microsoft Excel / Google Sheets.
- Good numerical and analytical skills.
- Detail-oriented and highly organized.
- Good communication and coordination skills.
- Able to work with multiple departments and manage changing priorities.
- Willing to work in a production environment.
- Experience using an
- ERP system
- is highly preferred.
- Able to work independently and responsibly with confidential company data.
- Preferred Skills
- Understanding of
- Production Planning & Inventory Control (PPIC)
- processes.
- Understanding of stock management and material requirements.
- Experience with
- Bill of Materials (BOM)
- and production planning.
- Familiarity with production reports and inventory reconciliation.
- Experience implementing or improving ERP systems.
- Good Excel skills, including formulas, Pivot Tables, and data analysis.
- Experience with manufacturing or construction material production is a strong advantage.
