About the role
You are the founder's extension — the eyes, the voice, the second set of hands. You will sit in many meetings beside the founder, and take many more on your own. Everything runs through the founder to begin with, which means you see exactly how every decision gets made. Proactivity is not a bonus here. It is the job.
- Key responsibilities
- Own the founder's calendar, book the right people, guard the diary, and protect deep-work time so the big things get built
- Triage the inbox, draft replies in the founder's voice, and gatekeep so only what truly matters reaches the top
- Attend meetings on the founder's behalf, and act as secretary and note-taker in the ones you share — every decision and follow-up captured
- Plan travel end to end: flights, hotels, itineraries, visas, drivers. Door to door, nothing left to chance
- Screen candidates and run first interviews. Shortlist only the people worth the founder's time
- Draft and correct contracts in Contractbook, keep the paperwork moving, and chase every signature to done
- Close the open loops nobody else owns. Move things forward before being asked twice
- Handle personal shopping, errands and private details discreetly, so the founder's focus stays on the build
- Run BLESS and events end to end — the monthly gathering of 250 - 500 people, fresh merch for each one, and every event dressed correctly
- Coordinate with the videographer and plan every shoot end to end, so production keeps moving whether or not anyone senior is on the island
- About you
- Well presented and comfortable on camera and in front of people, Ex-model preferred.
- Proven experience as an executive assistant, personal assistant, operations or coordination professional
- Proactive and extremely structured — you create value on your own, without waiting to be told what to do
- Excellent written and spoken English. Bahasa Indonesia is a strong advantage
- Confident representing the founder to senior people, on your own, in rooms where you are the only one there
- Discreet and trustworthy with private and confidential matters
- Based in Bali, or ready to relocate. Home base is Canggu and Lovina
- Available outside usual hours when it is needed
- Driving licence and your own transport in Bali is an advantage
