Qualifications
- Minimum 2 years of experience in the Japanese travel, tourism, MICE, hospitality, or events industry.
- Fluent Japanese and English, both written and spoken. Japanese writing ability is essential.
- Strong travel planning and itinerary-building skills.
- Good knowledge of hotels, restaurants, venues, activities, and other travel/event suppliers.
- Strong research and problem-solving skills.
- Strong attention to detail, particularly when preparing quotations and checking pricing.
- Good communication, negotiation, and interpersonal skills.
- Well-organised, responsible, and able to work independently with minimal supervision.
- Strong proficiency in Microsoft Office, particularly
- Excel, Word, and PowerPoint
- Familiarity with Canva and project management tools is a plus.
- Comfortable working with multiple projects and deadlines.
- Own laptop and reliable internet connection.
- Willing to work flexible hours and occasionally on weekends when required.
Scope of Work
- The main responsibility of this role is to support the team in preparing quotations and proposals for client enquiries, with
- a primary focus on Japan
- Review and understand client enquiries, requirements, preferences, and budgets.
- Build and develop suitable itineraries based on the client’s requirements.
- Research and recommend suitable hotels, restaurants, venues, activities, and other suppliers for groups and events.
- Request and coordinate quotations, availability, menus, and other relevant information from suppliers.
- Prepare and update client quotations based on the selected itinerary and supplier costs.
- Make sure quotation details, pricing, inclusions, and exclusions are accurate.
- Assist with preparing proposals and presentation materials when required.
- Coordinate with the internal team and suppliers to develop suitable options for each project.
- Maintain and organise relevant supplier information, quotations, and project details.
While the main focus will be on Japan-related projects, the role may also support quotations and planning for other destinations such as Singapore, Malaysia, Indonesia, and other destinations.
- Join regular team meetings and provide updates on ongoing projects as required.
- Support other travel and event planning tasks when needed.
