Job Description
- Support the Procurement Department in day-to-day administrative and operational activities.
- Prepare, process, and maintain procurement documents, Purchase Orders (PO), quotation, contracts, and other related documentation.
- Monitor purchase order, cash advance status and coordinate with suppliers to ensure timely delivery of goods and services.
- Handle procurement for operational requirements, including office supplies, consumables, and other indirect purchases.
- Manage import documentation, ensuring compliance with customs regulations and company procedures.
- Coordinate with freight forwarders, shipping agents, customs brokers to ensure smooth import clearance and on-time delivery.
Prepare and monitor import documentation, including Commercial Invoice, Packing List, Bill of Lading/Air Waybill, Certificate of Origin (COO), and other required shipping documents.
- Assist in HS Code classification and verify import documentation for customs clearance.
- Coordinate import permits and required regulatory documents with relevant government authorities when necessary.
- Track shipment status and proactively resolve import or logistics issues.
- Manage document routing and approval processes to ensure timely approval of procurement-related documents.
- Support procurement team members in sourcing activities and other procurement operations when required.
- Perform other administrative duties assigned by the Procurement Manager.
Requirements
- Bachelor’s Degree (S1) in Business Administration, Supply Chain Management, International Trade, Logistics, Engineering, or a related field.
- Minimum 2 years of experience in Procurement Administration, Purchasing, Import-Export, or Supply Chain.
- Good understanding of procurement processes, purchasing documentation, and vendor management.
- Experience in handling import documentation and coordinating customs clearance processes.
- Familiar with Incoterms, shipping documents, HS Code classification, and Certificate of Origin (COO) is an advantage.
- Familiarity with Indonesian customs regulations and import licensing requirements is preferred.
- Proficient in Microsoft Office (especially Excel) and ERP systems.
- Strong administrative, organizational, and document control skills.
- Experienced in routing documents for approval and maintaining systematic filing records.
- High attention to detail with strong analytical and problem-solving abilities.
- Able to manage multiple tasks, prioritize effectively, and work under tight deadlines.
Good communication and interpersonal skills with the ability to coordinate effectively with internal departments, suppliers, freight forwarders, and government authorities.
- Good command of both written and spoken English.
- Demonstrates integrity, accuracy, accountability, and a proactive attitude.
