About the role
- We are looking for a dedicated and organised
- Administration Assistant with fluency in Mandarin, English, and Indonesian
to join our team in Tangerang District, Banten on a full‑time basis. You will be the backbone of our office, ensuring smooth daily operations while serving as a key bridge between our Chinese‑speaking management, Indonesian staff, and English‑speaking partners. Your trilingual ability will be essential for handling cross‑border correspondence, translating documents, and facilitating meetings.
- Key responsibilities
- Manage filing systems (physical & digital) and ensure documents are properly organised, stored, and easily retrievable.
- Handle
- trilingual correspondence
- sort incoming/outgoing mail, emails, and calls in Mandarin, English, and Indonesian; redirect to appropriate departments.
- Prepare and process administrative documents (reports, memos, letters, forms)
- in all three languages
- as needed.
- Schedule meetings, manage calendars, book meeting rooms, and
- provide interpretation support
- during cross‑lingual meetings.
- Maintain office supplies inventory and place orders to ensure adequate stock.
- Support organisation of office events, meetings, and conferences – including preparing bilingual/multilingual materials.
Provide general administrative support to various departments – especially assisting Chinese‑speaking managers with Indonesian administrative procedures.
- Perform data entry and maintain accurate records in office systems.
- Greet visitors and handle reception duties –
- able to welcome Chinese, local guests
- in their preferred language.
- Perform basic bookkeeping or finance administration tasks if required (beneficial but not mandatory).
- What we‘re looking for
- Education
- Bachelor’s degree or above.
- Language (mandatory)
- Mandarin Chinese
- : native/business fluent – able to write emails, translate simple documents, and interpret daily conversations.
- English
- : Fluent – able to handle email correspondence and basic reporting.
- Indonesian
- : Fluent (native or near‑native) – essential for dealing with local vendors, government paperwork, and staff.
- Experience
- : Proven experience in an administrative/office support role, preferably in a bilingual or multicultural environment.
- Software skills
- : Proficient in Microsoft Office (Word, Excel, Outlook) and office management software.
- Soft skills
- : Excellent organisation, multitasking, attention to detail, reliability, and a proactive problem‑solving attitude.
- Bonus points
: Experience with basic bookkeeping, familiarity with office equipment (photocopiers, printers, telephone systems), or prior work in a Chinese‑Indonesian joint venture.
