We are hiring a Digital Agency Project and Account Manager to take ownership of project delivery and client relationships across all divisions of our digital marketing agency, Gaia Digital Agency. This is a middle management position that combines project management, account management, client communication, and quality control responsibilities. You will sit between our clients and our internal teams, ensuring every project moves forward on schedule and every deliverable that leaves the agency meets our standards.
This is a full-time on-site position based in Ubud, Bali. Business hours are Monday to Friday, 9am to 6pm. English is the primary working language, and strong written and verbal communication skills are mandatory, as the majority of our clients are international and English speaking.
You will work directly with the General Manager and with department team leaders across web development, creative, social media, and marketing to ensure agency operations run smoothly and that work flows through the agency without bottlenecks.
Your primary responsibility is to manage timelines for all agency-wide projects. You are expected to know at any given moment what stage each project is at, what the next deliverable is, who owns it, and whether the project is currently waiting on our team or on the client. Nothing should sit still without you knowing about it.
You will act as the primary point of contact for client communication, handling day-to-day correspondence, gathering feedback, managing revision rounds, providing progress updates, and keeping client expectations aligned with what is actually being executed internally.
A core part of this role is ensuring clients remain accountable to their own commitments. Projects frequently stall because content, assets, access credentials, feedback, or approvals do not arrive on time. You are responsible for following up on these items consistently and professionally until they are received, and for making sure no client is neglected or left without an update. This requires someone who is comfortable following up repeatedly without hesitation.
You will be responsible for tracking all tasks and to-do lists across projects using the project management tools currently in use at the agency, and for keeping those systems accurate and up to date so that they function as the only source of truth for the whole team. Practical proficiency with Gantt charts, Kanban boards, task assignment, and dependency tracking is necessary. You should be someone who genuinely works inside these systems rather than someone who maintains them as an afterthought.
You will be responsible for creating briefs for team members across different divisions of the agency. This includes translating client requirements, brand guidelines, and strategic direction into clear, specific, actionable briefs that a developer, designer, videographer, copywriter, or social media manager can execute against without repeated clarification. Strong brief writing is one of the most important skills in this role.
You will also be responsible for producing client-facing documentation to a professional standard. This includes project requirement documents, scopes of work, project timelines, meeting summaries, change requests, and handover documentation. These documents protect both the client and the agency by making what was agreed unambiguous, so clarity, structure, and precision in written English are essential.
A strong sense of good copywriting is required. You will be reviewing website copy, social media captions, campaign messaging, and client communications, and you must be able to tell the difference between writing that is merely correct and writing that is well-crafted, on-brand, and appropriate for the audience. You are not expected to be the agency's copywriter, but you are expected to recognize weak copy before a client does, especially if the copy is not aligned with what the client wants.
You will also be responsible for quality control on outbound work. Before anything is sent to a client (creatives, website, campaign, etc), you are expected to verify that it aligns with the approved brief, meets the client's brand guidelines, and reflects agency standards. You are the final checkpoint between our internal teams and the client.
Alongside delivery, you will maintain the health of the accounts under your supervision, identifying potential issues early, escalating risks to the General Manager and department leaders before they become delays, and ensuring all stakeholders have the information they need to perform effectively.
Because you will be coordinating work across every division, a working knowledge of the products a digital marketing agency delivers is required. You should understand how website development projects are scoped and built, how SEO works in practice including keyword research, on-page optimization, content structure, technical fundamentals, and performance reporting, how social media management operates across Meta Business Suite, TikTok, and LinkedIn, how Google Ads and Meta Ads campaigns are structured, and how broader marketing activity including KOL and influencer marketing is planned and executed. You do not need to be a specialist in every discipline, but you must understand each one well enough to build realistic timelines, write competent briefs, and evaluate whether the output is correct.
You should also understand how branding and creative work is produced, including video and graphic asset production, and what is realistically involved in each stage from concept through to final delivery. Basic knowledge of generative AI models used in creative production, such as image and video generation tools, is a strong advantage, as these are increasingly part of how creative work is developed and iterated. In this role, you will work alongside our creative manager which means good collaboration is expected from you.
An understanding of how a digital agency operates internally is equally important. You should be familiar with agency workflows, approval cycles, revision rounds, scope boundaries, and the practical realities of coordinating multiple projects and multiple clients at the same time.
Practical AI knowledge is mandatory for this role. We are actively moving toward an AI-heavy workflow across every division, and this position is central to that shift. You are expected to already be using AI tools in your daily work, not merely aware of them. This includes large language models such as ChatGPT, Gemini, and Claude for brief writing, documentation, research, summarizing client feedback, drafting communications, and reviewing work. Just as importantly, you must understand where these tools fail. You are expected to verify AI-assisted output before it reaches a client, recognize when a result is inaccurate, generic, or off-brand, and never pass unchecked work down the line. Candidates who learn new tools quickly and enjoy improving how work gets done will do well here.
Many of our clients operate within the hospitality, F&B, wellness, medical, and premium lifestyle sectors. An understanding of brand positioning and the standards expected by premium and luxury brands is highly valuable, as is the ability to maintain those standards consistently across every client touchpoint.
This role requires someone who is highly organized, proactive, detail-oriented, and comfortable managing multiple projects, clients, and deadlines simultaneously. You should be able to work independently, make decisions within your remit without waiting for approval on every item, protect project scope when client requests exceed what was agreed, and maintain a high level of professionalism at all times when dealing with clients and colleagues.
Candidates should have at least few years of experience in project management, account management, digital marketing, or a related role, with previous experience in a digital marketing agency, creative agency, or social media agency strongly preferred. Experience coordinating cross-functional teams and handling multiple client accounts simultaneously will be considered a significant advantage.
