We are looking for a Legal & Compliance Staff to be responsible for legal and compliance administration, particularly document control and manual updates. This position will ensure that the SMS Manual, FOM, SOPs, other manuals/procedures, legal records, approvals, and correspondence are properly maintained, up to date, traceable, and readily available for FAA, Cayman, Bermuda, and Guernsey audits.
Key Responsibilities
Act as the PIC (Person in Charge) for document control and manual updates, including the SMS Manual, FOM, SOPs, and other relevant manuals and procedures.
Maintain and regularly update the legal and regulatory document register, including certificates, licenses, authorizations, agreements, correspondence, expiry dates, document owners, submission status, and due dates.
Prepare and maintain audit readiness for FAA, Cayman, Bermuda, and Guernsey requirements, including document indexes, checklists, supporting evidence, audit folders, pre-audit reviews, and tracking of findings and corrective actions until closure.
Record incoming regulatory notices and requests, identify the required documents or actions, and follow up with the relevant departments or functions.
Coordinate with relevant Subject Matter Experts (SMEs) to confirm technical or operational matters when required, such as the Chief Pilot or CEO.
Serve as the administrative point of contact for regulatory submissions and correspondence.
Prepare forms and official letters, coordinate signatures and supporting documents, submit required documents, and follow up on submission status.
Strong proficiency in MS Word and/or Google Docs, particularly for managing long and complex documents, including styles, headings, table of contents, track changes, pagination, proofreading, document comparison, and version control.
Previous experience supporting audits, compliance activities, or working with regulators/auditors in a regulated industry. Aviation experience is not required, as long as the candidate is accustomed to working based on regulatory requirements and supporting evidence.
Ability to understand regulations, contracts, manual content, and English correspondence, and translate requirements into clear and actionable task lists.
Strong organizational and follow-up skills, with the ability to manage multiple documents, deadlines, and stakeholders simultaneously.
Good written English skills at a minimum intermediate level, with the ability to prepare formal correspondence and communicate professionally with regulators, auditors, consultants, or external counsel.
Bachelor's degree in Law (S1 Hukum) is preferred, but candidates from other educational backgrounds are welcome if they have strong experience in Legal Administration, Paralegal, Compliance, or Document Control.
