About the Company
Our client is a well-established Japanese food manufacturing company currently expanding its business operations in Indonesia. To support its growth, the company is seeking a capable and hands-on professional to oversee accounting, office administration, general affairs, payroll, tax, and corporate administration functions while ensuring smooth and compliant business operations.
- Position Summary
- The
- Office Administration & Accounting Manager / Assistant Manager / Supervisor
will be responsible for managing the company's accounting operations and overall office administration activities. This role requires a strong accounting background combined with the ability to oversee administrative, general affairs, payroll, taxation, and corporate support functions.
The successful candidate will act as a key liaison between local operations and management, including coordination with Japanese and headquarters when required. This position supervises one subordinate who also supports manufacturing administration activities.
- Key Responsibilities
- Accounting & Finance
- Manage the full accounting cycle from transaction recording to financial reporting.
Perform and review
- Data entry and voucher processing
- Journal entries
- General ledger maintenance
- Account reconciliations
- Trial balance preparation
- Prepare accurate monthly, quarterly, and annual financial statements.
- Conduct financial analysis and provide recommendations to management.
- Monitor cash flow, operating expenses, and budget utilization.
- Ensure compliance with company policies and Indonesian accounting standards.
- Coordinate with external auditors and business consultants.
- Tax Compliance
- Prepare and submit monthly and annual tax reports.
Handle tax calculations and reporting, including
VAT (PPN)
- Ensure tax compliance and timely filing.
- Coordinate with tax consultants and government authorities during audits or inquiries.
- Payroll Administration
- Process monthly payroll accurately and on schedule.
- Manage employee compensation calculations.
- Administer BPJS Kesehatan and BPJS Ketenagakerjaan.
- Ensure compliance with Indonesian labor regulations and payroll requirements.
- Maintain payroll and employee compensation records.
- Office Administration & General Affairs
- Oversee day-to-day office administration activities.
- Ensure smooth office operations and administrative support for all departments.
- Manage office supplies, facilities, company assets, and vendor services.
- Handle administrative documentation, filing systems, and record management.
- Maintain and renew company licenses, permits, and legal documentation.
- Coordinate office maintenance, utilities, security, and housekeeping services.
- Support business travel arrangements, company events, and administrative logistics.
- Manage relationships with external service providers and government agencies.
- Manufacturing Administration Support
- Support administrative activities related to factory operations.
- Coordinate documentation and reporting required by manufacturing departments.
- Monitor administrative processes to ensure operational efficiency.
- Collaborate with production and warehouse teams on administrative matters.
- HR Administration (Preferred)
- Support attendance management and employee records administration.
- Assist with employee onboarding and offboarding processes.
- Maintain personnel files and HR-related documentation.
- Support employee welfare and company policy implementation.
- Reporting & Communication
- Prepare management reports and business performance updates.
- Coordinate effectively with local management and Japanese stakeholders.
- Support reporting requirements to Japanese headquarters.
- Assist in company expansion projects, process improvements, and factory establishment activities.
Requirements
- Education
- Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.
- Experience
- Minimum 5 years of experience in Accounting, Finance, Office Administration, or General Affairs functions.
- Experience working in a Japanese manufacturing company is highly preferred.
- Experience managing both accounting and office administration responsibilities.
- Strong understanding of manufacturing business processes.
- Technical Competencies
- Full accounting cycle management.
- Financial reporting and analysis.
- General ledger and closing process management.
- Indonesian taxation regulations and reporting.
- Payroll processing and BPJS administration.
- Corporate administration and office management.
- Strong Microsoft Excel skills.
- Experience using Accurate Accounting Software is preferred.
- Language Skills
- Business-level English is required.
- Japanese language proficiency will be a significant advantage.
- Preferred Qualifications
- Candidates with the following experience will be highly regarded:
- Food manufacturing or food processing industry experience.
- Experience supporting factory start-up or factory expansion projects.
- Experience reporting to Japanese headquarters.
- HR Administration and General Affairs exposure.
- Japanese language capability (JLPT certification is a plus).
