ACCOUNTING & TAX SPECIALIST

ABOUT BVTD
- Bali Vape & Tobacco Distribution (BVTD) is a growing distribution and retail company based in Bali, Indonesia.
- We are seeking a highly professional, responsible, and detail-oriented
- Accounting & Tax Specialist
- to manage the company's internal accounting, financial records, tax compliance, reconciliations, reporting, and financial controls.
- The role covers both
- BVTD distribution operations and Smokemart retail outlets
- , including POS sales, cash, bank transfers, QR/QRIS payments, and online sales through platforms such as GrabMart and Tokopedia.
- This is a key position within the company.

KEY RESPONSIBILITIES
- Accounting & Bookkeeping
- Manage daily accounting transactions accurately and on time.
- Record sales, purchases, expenses, payments, receipts, and other transactions.
- Maintain the general ledger and complete accounting records.
- Verify invoices, receipts, purchase orders, and payment documentation.
- Perform bank and cash reconciliations.
- Identify, investigate, and correct discrepancies.
- Maintain organized financial records.
- Assist with monthly and year-end closing.
- Smokemart Retail Accounting
- Responsible for the internal accounting and financial reconciliation of
- Smokemart retail outlets
, including
- Record and reconcile daily retail sales.
- Reconcile POS sales against cash and electronic payments.
- Reconcile QR/QRIS payments, bank transfers, and other payment methods.
- Monitor cash collections and deposits.
- Reconcile retail sales against bank and payment settlements.
- Record retail purchases, supplier invoices, expenses, and petty cash.
- Reconcile retail inventory with accounting records.
- Monitor stock adjustments, damaged stock, returns, refunds, discounts, and promotions.
- Identify discrepancies between POS, cash, QR/QRIS, bank, inventory, and accounting records.
- Prepare retail sales and financial reports for management.
- Online Sales & Marketplace Reconciliation
- Responsible for reconciling Smokemart online sales and settlements,
- including GrabMart, Tokopedia, and other approved platforms
- Reconcile online orders with POS and accounting records.
- Match platform sales with actual settlement payments.
- Reconcile commissions, service fees, discounts, promotions, refunds, and cancellations.
- Verify online sales against bank receipts.
- Investigate differences between platform reports, orders, accounting records, and bank settlements.
- Ensure online revenue is correctly recorded.
- Maintain proper supporting documentation and reconciliation reports.
- All sales channels must be properly reconciled: cash, POS, QR/QRIS, bank transfers, and online platforms.
- Accounts Receivable & Payable
- Monitor customer outstanding balances and AR.
- Reconcile customer payments against invoices.
- Track payment terms and overdue accounts.
- Maintain accurate AP records.
- Verify supplier invoices against purchasing and receiving documentation.
- Monitor supplier payment schedules.
- Reconcile supplier statements and investigate discrepancies.
TAX COMPLIANCE — INDONESIAN LAW
- Tax compliance is a major responsibility of this position.
- The Accounting & Tax Specialist must have strong practical knowledge of
- Indonesian tax laws, regulations, procedures, and reporting requirements
- and ensure BVTD's internal accounting and tax activities comply with applicable Indonesian law.
Responsibilities include
- Identify, calculate, record, and report applicable tax obligations correctly.
- Prepare required tax calculations, reports, and supporting documentation.
- Monitor tax payment and reporting deadlines.
- Ensure applicable **VAT/PPN** requirements are correctly recorded and managed.
- Ensure applicable **PPh/withholding tax** is correctly calculated, recorded, and reported.
- Maintain accurate tax invoices and supporting documents.
- Reconcile tax records with accounting records.
- Ensure tax transactions are correctly recorded in the accounting/ERP system.
- Maintain complete tax records.
- Monitor changes to Indonesian tax regulations affecting the company.
- Ensure internal accounting practices remain compliant with current Indonesian tax requirements.
- Identify tax compliance issues and report them to management immediately.
- Ensure tax payments and reporting are completed accurately and on time.

- . Incorrect calculations, missing documentation, late reporting, or non-compliance may result in financial penalties and regulatory risk.
FINANCIAL REPORTING
Prepare accurate and timely internal reports, including
- Daily/weekly financial summaries.
- BVTD distribution sales reports.
- Smokemart retail sales reports.
- Online sales and marketplace reconciliation reports.
- AR and AP reports.
- Cash flow and payment reports.
- Expense reports.
- Bank and cash reconciliation reports.
- Monthly financial reports.
- Tax reporting summaries.
- Other reports requested by management.
- Reports must be accurate, properly supported, and submitted on time.
INVENTORY & DISTRIBUTION ACCOUNTING
- Reconcile inventory-related accounting records.
- Review purchasing, receiving, transfers, and stock adjustments.
- Assist with inventory reconciliation and valuation.
- Investigate differences between physical stock and accounting/ERP records.
- Ensure inventory movements are correctly reflected financially.
- Monitor damaged, returned, adjusted, or missing stock.
- Coordinate with warehouse, sales, operations, and retail teams.
ERP, POS & SYSTEMS
- Maintain accurate financial data in accounting/ERP systems.
- Work with Smokemart POS and sales data.
- Reconcile POS and online platform data with accounting and bank records.
- Ensure transactions are posted to the correct accounts.
- Review system reports for errors or inconsistencies.
- Use Excel/Google Sheets for financial reporting and analysis.
- Maintain proper digital and physical documentation.
INTERNAL FINANCIAL CONTROL
The Accounting & Tax Specialist must protect the accuracy and integrity of BVTD and Smokemart financial records.
You are expected to identify and report
- Incorrect or duplicate transactions
- Missing documentation
- Unapproved expenses
- Cash or bank discrepancies
- POS discrepancies
- QR/QRIS discrepancies
- Online marketplace discrepancies
- Customer or supplier discrepancies
- Tax inconsistencies
- Inventory/accounting differences
- Unusual or unauthorized transactions
Financial discrepancies must never be ignored, concealed, or unnecessarily delayed. Significant issues must be reported to management promptly
REQUIREMENTS
- Minimum
- 3–5 years of relevant accounting, finance, or tax experience
- Diploma/Bachelor's degree in Accounting, Finance, Taxation, or related field.
- Strong knowledge of
- Indonesian accounting and tax laws
- Practical experience with Indonesian tax compliance and reporting.
- Strong understanding of VAT/PPN and PPh requirements.
- Experience with bookkeeping, AP, AR, reconciliations, and financial reporting.
- Strong Excel/Google Sheets skills.
- Experience with accounting software, ERP, and/or POS systems.
- Retail and online marketplace reconciliation experience is highly preferred.
- Strong numerical and analytical skills.
- Excellent attention to detail.
- Able to work independently and meet strict deadlines.
- High level of integrity, confidentiality, responsibility, and professionalism.
PREFERRED
- Brevet A & B certification.
- Experience with DJP/Coretax and e-Faktur.
- Experience in distribution, FMCG, retail, trading, or wholesale.
- Experience with retail/POS accounting.
- Experience with online marketplace reconciliation.
- Experience with inventory accounting and ERP systems.

- internal accounting and tax responsibilities across BVTD distribution and Smokemart retail operations.
The successful candidate must maintain accurate records, reconcile every sales and payment channel, identify discrepancies, comply with Indonesian tax law, meet reporting deadlines, and provide management with reliable financial information.
