CLAY Bali is a new premium restaurant and lounge opening in Ubud. Our concept is inspired by the Silk Road, fire, earth, warm hospitality, tea, and long evenings around the table.

• We are looking for an experienced and highly organized
• Purchasing Manager / Procurement Officer
• to build and manage the restaurant’s purchasing system.
• Main Responsibilities
• Search for reliable local and national suppliers.
• Request quotations and compare prices, quality, payment terms, and delivery conditions.
• Negotiate prices, discounts, credit terms, and supply agreements.

Coordinate purchasing for

• kitchen;
• bar;
• tea and hookah;
• service and FOH;
• cleaning and maintenance;
• restaurant equipment and operating supplies.
• Process approved purchase requests and place orders.
• Control delivery dates and follow up with suppliers.
• Check delivered quantities, quality, condition, and compliance with orders.
• Collect invoices, delivery notes, receipts, and supporting documents.
• Coordinate all payments and documentation with the finance department.
• Work closely with department heads and the storekeeper.
• Organize product returns, replacements, and supplier claims.
• Maintain an updated supplier database and price history.
• Monitor changing supplier prices and inform management in advance.
• Prepare weekly purchasing reports and outstanding-order updates.
• Ensure that purchases are made only after proper approval.
• Support inventory control and prevent unnecessary or duplicate purchases.
• Key Requirements
• Previous experience in purchasing, procurement, or supply chain.
• Restaurant, hotel, catering, or hospitality experience is strongly preferred.
• Good knowledge of suppliers in Bali and Indonesia.
• Experience working with food, beverage, equipment, tableware, and operational supplies is an advantage.
• Strong negotiation and communication skills.
• Ability to compare quotations and calculate the real cost of each offer.
• High attention to detail and documentation.
• Strong organizational and follow-up skills.
• Confident use of Excel or Google Sheets.
• Able to work with invoices, purchase orders, delivery notes, and payment records.
• Good spoken and written English.
• Fluent Bahasa Indonesia.
• Honest, responsible, disciplined, and comfortable working in a fast-paced pre-opening environment.
• Based in Bali or ready to work from Ubud.

• always compares price, quality, delivery time, and payment terms;
• understands that cheap does not always mean cost-effective;
• checks every order before accepting it;
• keeps all documents organized;
• communicates clearly with finance and department heads;
• can build a purchasing system, not only complete individual purchases;
• takes responsibility for deadlines and supplier follow-up.
• Reporting Line
• The Purchasing Manager will report to the
• General Manager

and work closely with

• Finance / CFO;
• Brand Chef and kitchen team;
• Head Bartender;
• Head Hookah;
• Operations and Facility;
• Storekeeper;
• Restaurant Manager.
• Main Result of the Position

The restaurant must receive the correct products

• in the correct quantity;
• at the correct quality;
• at the best approved commercial terms;
• within the required deadline;
• with a complete set of financial documents.
