About the role

We are seeking a dynamic and organised Sales Assistant to join our team at our Central Jakarta office on a full-time basis. In this role, you will be the vital link between our sales team and clients, providing essential administrative support to drive our business development efforts. As Sales Assistant, you will be responsible for maintaining client relationships, processing sales enquiries, and ensuring smooth operations of our sales department. This position is integral to supporting the growth and success of PT Advanced Psychotherapy Indonesia by enabling our sales team to focus on client acquisition and relationship management.

• Key responsibilities
• Process and manage client enquiries and sales leads with professionalism and accuracy
• Maintain comprehensive client databases and sales records using appropriate CRM systems and software
• Prepare sales quotations, proposals and contractual documentation for review and client submission
• Schedule client appointments and coordinate with psychotherapy practitioners to confirm bookings
• Handle client communications via telephone, email and other channels, addressing enquiries and concerns promptly
• Support the sales team with administrative tasks including report preparation, filing and organisation of sales materials
• Follow up with prospective clients to nurture leads and facilitate the sales process
• Maintain accurate and up-to-date records of sales activities, transactions and client interactions
• Assist with the preparation of sales presentations and marketing materials as required
• Contribute to the development and implementation of administrative processes that improve sales team efficiency
• What we're looking for

Proven experience in a sales administration, client administration or similar administrative support role within a professional services environment

• Excellent organisational and time management skills with the ability to prioritise multiple tasks effectively
• Strong written and verbal communication skills in both Indonesian and English; additional languages are advantageous
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and experience with CRM systems or database management
• Customer service experience with a demonstrated ability to build and maintain positive client relationships
• Attention to detail and accuracy in data entry and documentation
• Professional demeanour with a commitment to client confidentiality and data protection
• Ability to work independently and as part of a collaborative team
• Familiarity with the healthcare, mental health or professional services sector is preferred
• A proactive approach to problem-solving and process improvement
