Senior Real Estate Agent Management Associate / Coordinator

About the role

This is a hands-on role responsible for establishing the Agent Management function from the ground up. You will manage an initial portfolio of agents while developing the systems, processes, and team capabilities required to scale. As Flokq expands across Indonesia and into new markets, you will build a scalable Agent Management function to improve agent productivity, increase transactions, and maintain consistent operating standards across the real estate agent network. The long-term operating model is for each Agent Management Associate to manage approximately 10 agents.

Key responsibilities

Execute agent recruitment initiatives to build and maintain a productive real estate agent network, including identifying recruitment channels, screening candidates, and assessing their experience and suitability

Coordinate recruitment, onboarding, documentation, system registration, and initial training to ensure agents understand Flokq's business model, transaction processes, reporting requirements, and SOPs

• Manage an assigned portfolio of agents, maintaining structured routines for activity tracking, performance monitoring, and compliance
• Track new closings, transaction values, conversion rates, referrals, and revenue generation
• Conduct regular follow-ups to review performance, resolve obstacles, and ensure commitments are completed
• Identify inactive or underperforming agents and implement targeted improvement plans
• Establish disciplined tracking routines with clear ownership, deadlines, documentation, and escalation paths similar to a BPO environment
• Monitor compliance with CRM updates, lead reporting, calendar usage, transaction documentation, and other operating procedures
• Maintain trackers showing agent status, pending actions, deadlines, compliance gaps, and performance issues

Identify potential violations, including unreported leads or transactions, missing CRM updates, and unauthorised process deviations, and escalate serious or repeated issues

• Reconcile agent-reported activity against CRM and transaction records to identify discrepancies and potential revenue leakage
• Identify opportunities to increase agent closings, transaction frequency, and revenue generated through Flokq

Develop training programmes covering Flokq's systems, lead management, transaction processes, customer follow-ups, cross-selling, upselling, and reporting

• Build the operating framework for Agent Management, including trackers, dashboards, reporting routines, and standardised workflows
• Develop SOPs for recruitment, onboarding, portfolio management, performance monitoring, compliance, escalation, and agent development

Help establish the function's responsibilities, workflows, and performance standards and develop a scalable model in which each Agent Management Associate manages approximately 10 agents

• Work with management and HR on hiring plans, job descriptions, candidate screening, and interviews for additional team members
• Develop repeatable processes for agent recruitment, onboarding, management, and performance monitoring across multiple cities
• Prepare regular reports covering recruitment, activation, productivity, closings, transaction values, conversion rates, and compliance
• About you

At least 5 years of relevant experience in agent management, BPO operations, sales operations, commercial operations, performance management, or a related field

Demonstrated experience managing distributed teams, external partners, sales agents, or operational portfolios

Strong understanding of BPO-style operations, including SLA tracking, performance dashboards, documented follow-ups, escalation matrices, and compliance controls

• Experience in recruitment, onboarding, training, and performance management
• Strong analytical skills and proficiency in Microsoft Excel or Google Sheets
• Experience using CRM platforms, trackers, dashboards, and operational reporting systems
• Excellent organisational skills and the ability to manage multiple agents, deadlines, and follow-up actions systematically

Strong communication and stakeholder management skills, including the ability to enforce requirements professionally and escalate violations appropriately

• Ability to investigate discrepancies, identify performance gaps, and implement corrective actions
• Experience developing SOPs, workflows, training materials, or operational control systems
• Commercially minded, with an understanding of transaction growth, conversion rates, revenue generation, and leakage prevention
• Fluent in Bahasa Indonesia; English proficiency is an advantage
