- Job Responsibilities
- Manage flight, train, and other transportation bookings for employees, management, and business travelers.
- Arrange domestic and international travel itineraries based on approved business travel requests.
- Handle ticket issuance, rescheduling, cancellation, rebooking, and refund processes.
- Coordinate with airlines, travel agencies, hotels, and other travel service providers.
- Monitor travel schedules and provide timely updates regarding changes, delays, or cancellations.
- Ensure all travel arrangements comply with company policies and approved budgets.
- Maintain accurate records of tickets, itineraries, invoices, and travel-related documents.
- Handle visa and immigration administration for foreign employees, business visitors, and other foreign nationals.
- Coordinate the application, extension, and renewal of visas, KITAS, KITAP, work permits, and other immigration-related documents.
- Prepare and verify required documents for visa and immigration applications.
- Liaise with immigration offices, relevant government authorities, and authorized immigration agents.
- Monitor visa and KITAS validity periods and ensure timely renewal or extension.
- Coordinate arrival, departure, and other immigration-related arrangements for foreign employees and visitors.
- Provide guidance to foreign employees regarding immigration procedures, required documentation, and compliance requirements.
- Ensure all immigration administration is properly documented and handled in accordance with applicable regulations.
Requirements
- Minimum Diploma/Bachelor's degree in Business Administration, Tourism, Hospitality, International Relations, Law, or a related field.
- Minimum 2–3 years of experience in corporate travel, ticketing, immigration, administration, or a similar position.
- Hands-on experience handling visa, KITAS, work permit, and immigration administration for foreign nationals is required.
- Familiar with Indonesian immigration procedures and documentation requirements for foreign employees.
- Experience coordinating with immigration offices, government authorities, travel agencies, and/or immigration consultants.
- Good understanding of domestic and international travel arrangements and ticketing procedures.
- Proficient in Microsoft Office, particularly Excel.
- Good command of English, both written and verbal, as the position will frequently communicate with foreign employees and external parties.
- Strong administrative, organizational, and coordination skills.
- Detail-oriented and able to manage multiple cases, deadlines, and documentation simultaneously
- Strong follow-up skills and able to handle urgent or time-sensitive matters.
- High level of integrity and confidentiality when handling personal and immigration documents.
- Willing to work outside regular office hours when required for urgent travel or immigration matters.
