Role Summary
As an Operations & Administrative Associate, you'll be the backbone of day-to-day execution: issuing order documents, coordinating deliveries, keeping inventory accurate, and running clean reporting. You'll work across sales, finance, and operations, and take on ad-hoc projects that improve how the company runs as it scales. This role suits someone structured and fast who likes being the person who quietly makes things happen.
Key Responsibilities
Own end-to-end order documentation and fulfilment: issue and manage PO, invoices, and DO; coordinate receiving and deliveries to and from clients and clinics.
- Maintain accurate inventory records, stock movements, allocations, and consignment tracking across accounts.
- Run routine stock opname; reconcile physical stock against system data and resolve discrepancies.
Prepare weekly and monthly inventory and distribution reports; flag risks early (low stock, slow-moving stock, expiry, discrepancies, delivery delays).
- Coordinate with sales, finance, and operations to keep order-to-delivery and documentation flowing cleanly.
- Manage vendor and logistics coordination: requests, follow-ups, status tracking, and timely replenishment.
- Maintain document control and traceability for internal review and audit.
- Take on ad-hoc operational projects that strengthen how the business runs, your scope grows with the company.
- Required Qualifications
- Bachelor's degree or D3 in business, logistics, operations, finance/accounting, or related.
- 1–3 years in operations, admin, inventory, logistics, or distribution support.
- Strong Excel / Google Sheets skills.
- Comfortable with ERP / inventory or accounting software (e.g., Accurate, Kledo).
- Professional working proficiency in English and Bahasa Indonesia (written and spoken).
- Highly organized and detail-driven; able to manage multiple tasks and deadlines daily.
- Preferred Qualifications
- Hands-on experience with stock opname and consignment tracking.
- Background in medical device, pharmaceutical, healthcare, or premium distribution.
- Familiarity with PO/DO/invoicing workflows and document control.
