Finance Staff - Purchasing and Cost Control

• We Are Hiring – Finance & Accounting Team
• We are looking for detail-oriented, organized, and responsible individuals to join our hotel and restaurant operations team as:
• Purchasing & Receiving Cost Control

Handle purchase requests, obtain quotations, coordinate with suppliers, and prepare purchase orders for villa, restaurant, kitchen, bar, and operational requirements.

Ensure all purchases are made in accordance with approved specifications, budgets, quality standards, and company procedures.

Coordinate with suppliers and relevant departments regarding product availability, pricing, delivery schedules, order status, and operational requirements.

Work closely with the Kitchen, Food & Beverage, Restaurant, Housekeeping, Engineering, and other operational departments to ensure timely availability of required goods and supplies.

Monitor receiving procedures and verify that goods received match the purchase orders, delivery notes, and invoices in terms of quantity, quality, freshness, condition, and specifications.

Inspect and document discrepancies, shortages, damaged items, expired products, or incorrect deliveries, and coordinate appropriate follow-up actions.

Ensure that food, beverage, and other operational items are received, handled, stored, and documented in accordance with hotel and restaurant standards.

• Maintain accurate purchasing, receiving, supplier, inventory, and stock records.
• Conduct regular inventory checks and assist with stock monitoring, stock rotation, and reconciliation.
• Monitor food, beverage, and operational costs and identify variances or potential cost-control issues.

Assist in monitoring food and beverage consumption, portion control, wastage, spoilage, and other factors affecting restaurant and villa operating costs.

• Review daily receiving records, market lists, purchase orders, invoices, and supporting documents for completeness and accuracy.
• Assist in preparing purchasing, receiving, inventory, food and beverage cost, and cost-control reports.
• Ensure proper filing of purchase requests, purchase orders, receiving reports, invoices, market lists, and other supporting documents.

Support internal controls and maintain effective communication with the Finance, Purchasing, Receiving, Store, Kitchen, Food & Beverage, Restaurant, and Operations teams.

• Assist with month-end stock counts, inventory valuation, and reconciliation of physical stock with system records.
• Support the Finance and Operations teams in maintaining efficient purchasing and cost-control procedures across the hotel and restaurant.

Qualifications

Diploma or Bachelor’s degree in Accounting, Finance, Purchasing, Supply Chain Management, Hospitality Management, or a related field.

Minimum 2 years of relevant experience in purchasing, receiving, inventory control, cost control, or a similar position, preferably in hotel, restaurant, or hospitality operations.

Good understanding of hotel and restaurant purchasing procedures, receiving processes, inventory management, food and beverage operations, and cost-control principles.

• Familiarity with food, beverage, kitchen, restaurant, housekeeping, engineering, and general hotel operational requirements.
• Proficient in Microsoft Excel and familiar with accounting, purchasing, inventory, point-of-sale, or hotel management systems.

Strong attention to detail with the ability to verify quantities, prices, specifications, freshness, quality, and supporting documents accurately.

• Good negotiation, communication, organizational, and analytical skills.
• Able to monitor food costs, beverage costs, wastage, stock movement, and operational variances.
• Honest, responsible, and committed to maintaining accurate records and supplier confidentiality.
• Able to work independently and collaboratively with different departments.
• Able to work in a fast-paced hotel and restaurant environment.
• Willing to work flexible hours, including weekends or public holidays, when required by operational needs.
