General Job Description
- A. Human Resources (HR)
- Recruitment & Selection
- Manage the recruitment process from start to finish.
- Create and publish job vacancy announcements.
- Conduct CV screening for candidates.
- Schedule and coordinate the interview process.
- Coordinate the offering and onboarding process for new employees.
- Ensure manpower needs are fulfilled in accordance with the company’s manpower planning.
- Employee Administration
- Manage employee administration (employment contracts, appointment letters, transfers, and resignation processes).
- Maintain and manage employee databases in an organized and up-to-date manner.
Prepare and manage employment-related documents such as warning letters, employment certificates, decision letters, internal/external memo, and employee status changes.
- Attendance, Leave & HRIS Management (StaffAny)
- Manage and ensure the effective implementation of employee attendance, leave, permissions, and overtime processes through StaffAny.
- Arrange and monitor employee work schedules (shift planning) in accordance with operational needs.
- Maintain and regularly update employee data in the system accurately.
- Ensure the accuracy of attendance data (clock in/out) for payroll purposes.
- Process employee leave, permission, and overtime requests through the StaffAny system.
- Review and validate data before payroll processing.
- Prepare and analyze reports on attendance, lateness, and overtime on a regular basis.
- Coordinate with vendors or related teams to resolve system issues.
- Drive system improvements and continuous enhancement (continuous improvement).
- Develop and update SOPs related to the use of StaffAny.
- Provide guidance and training to employees on system usage.
- Ensure the security and confidentiality of employee data within the system.
- Performance Management
- Coordinate the employee performance appraisal process.
- Ensure performance evaluations are conducted regularly.
- Collect and maintain records of performance evaluation results.
- Employee Relations
- Act as a liaison between management and employees.
- Handle employee issues in a professional manner.
- Assist in resolving internal workplace conflicts.
- Provide employee guidance and counseling when necessary.
- HR Compliance
- Ensure HR policies comply with applicable labor regulations.
- Monitor the implementation of company SOPs.
- Assist in internal HR audit processes.
- B. General Affairs (GA)
- Asset & Facility Management
- Manage company assets (office inventory).
- Ensure office facilities are functioning properly.
- Oversee the maintenance of buildings, vehicles, and office equipment.
- Event & Internal Activities
- Organize company activities such as internal meetings, employee training, company gatherings, and corporate events.
- Legal & Licensing Support
- Assist in handling company legal documents.
- Manage operational permits and licenses when required.
Qualifications & Requirements
- A. Education
- Minimum Bachelor’s Degree (S1) in Psychology, Human Resource Management, Law, or Business Administration.
- B. Experience
- Minimum 2–3 years of experience in HR or HRGA.
- C. Competencies
- Understanding of Recruitment and HR Administration processes
- Knowledge of Labor Laws and Regulations
- Ability to manage General Affairs and office operations
- Strong communication skills
- Good problem-solving abilities
- Detail-oriented and well-organized
- D. Skills
- Microsoft Office (Excel, Word, PowerPoint)
- HRIS knowledge (an advantage)
- Leadership and coordination
